The Role:

We are seeking Office Manager for a fixed term position within our global Workplace Experience team. The role is a full time position for up to 6 months. The start date is negotiable, but our preference is that you would be able to start in February / March 2025. 

As Office Manager, you will play a central role in the operational heartbeat of Aiven. You’ll work onsite at Aiven’s Berlin office, which is located right next to Hauptbahnhof. Your expertise extends across all facets of office management, from daily operations to the planning and optimization of our workspace to foster collaboration and productivity. You will be a part of a global Workplace Experience team and collaborate closely with office managers from Helsinki, Sydney, and Toronto. 

What You'll Do:

  • The first point of contact for our employees and visitors in the Berlin office. 
  • Supervise daily operations and optimize our workspace to foster collaboration and productivity. 
  • Organize and oversee internal events and team-building activities, such as office breakfasts and team meetings. 
  • Work closely with our vendors to maintain good relationships and oversee the quality of the services provided. 
  • Serve as a work safety officer, make sure that the office adheres to the regulations, and oversee safety-related initiatives such as first aid training or vision assessments. 
  • Serve as a central point of contact, bridging various departments and teams and ensuring a smooth flow of information across the organization. 
  • Office budget management. 

What We're Looking For:

  • At least 2 years of experience as an office manager or in a similar role.
  • Strong teamwork and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Ability to thrive in a fast-paced and dynamic startup environment.
  • Knowledge of health and safety regulations and compliance.
  • Experience with office software and collaboration tools e.g. Gsuite, Slack, Jira
  • Professional working proficiency in English and preferably in German

  2. 45 minute Depth of Expertise Interview with the hiring manager 
  3. Skills interview and or presentation for 1 hour with the wider team 
  4. Company values interview for 1 hour
